Hutto Legends Baseball (“Hutto Legends,” “we,” “us,” or “our”) is a youth 10U select baseball program based in Hutto, Texas. This Privacy Policy governs all personal information and form submissions received through our official website (huttolegends.com), including:

• Shop Orders Checkout: Placing team gear and merchandise orders.
• Tryout Registrations: Requesting private player evaluations and joining our pickup/sub roster list.

2. Shop Orders & Merchandise Checkout

When placing an order for team apparel or fan gear through our shop checkout, we collect the following details:

• Customer Name: To label and track your merchandise package for pickup or delivery.
• Email Address: To transmit automated receipt confirmations and notify you when your items are ready.
• Phone Number (Optional): To contact you via text or phone if there are sizing questions, backorders, or pickup timing updates.
• Item Details & Customizations: Garment sizes, color selections, quantities, and personalized player name or jersey number requests.
• Order Totals: Subtotal, line items, and fulfillment notes.

3. Tryout & Player Evaluation Forms (/tryouts)

When a family submits a private tryout or pickup list request on our Tryouts page, we collect:

• Player Information: Player's full name and age (used exclusively to verify league age eligibility and age-division alignment).
• Parent / Legal Guardian Information: Parent's name, contact telephone number, and email address.
• Availability & Logistics: Preferred days of the week, times, and schedule flexibility for scheduling sessions around field availability.
• Optional Player Background: Primary positions, past baseball experience, current team context, or special notes provided in the message field.

How Tryout Data is Used: Tryout submissions are routed directly to the Hutto Legends coaching staff via secure transactional email. This information is used strictly to coordinate evaluation times, evaluate team roster needs, and communicate with the player's parent or legal guardian. We never share player evaluations or prospect contact information with outside teams, clubs, or commercial organizations.

4. Sponsorship & Booster Inquiries (/sponsorship)

When a local business or individual submits a sponsorship inquiry through our Sponsorship page, we collect:

• Business / Organization Name: To identify the sponsor and determine banner/website placement.
• Primary Contact Person: Name of the business representative or sponsor organizer.
• Contact Details: Business email address and phone number for follow-up communication.
• Sponsorship Package Interest: Tier selected (e.g., Bronze, Silver / All-Star, MVP, Grand Slam, or Custom partnership).
• Inquiry Message & Artwork: Any custom sponsor notes, questions, or artwork specifications for team banners and website feature logos.

How Sponsor Data is Used: Inquiries are sent directly to team management to finalize sponsorship tiers, verify logo placements on banners and the website, provide tax receipts/invoices, and maintain booster club compliance. Business contact information is never sold or used for unrelated commercial marketing.

5. Live Score Push Notifications

Fans, parents, and supporters can opt-in to receive real-time inning and score alerts on desktop or mobile browsers.

• Subscription Tokens: When you click “Subscribe to Alerts,” your browser generates a standard Web Push subscription token consisting of an anonymous endpoint URL and public encryption keys (p256dh and auth).
• No Personal Identifiers: Push notification tokens contain no names, phone numbers, or email addresses. They are completely pseudonymous.
• Unsubscribing: You can revoke notification permissions at any time through your browser's site permissions settings. Revoking immediately stops notifications.

6. Home Run Derby & Leaderboard

When playing our Home Run Derby arcade game, players may submit their score to the public leaderboard:

• Leaderboard Entries: We collect only the player initials or chosen nickname, final derby score, and home run count.
• Public Visibility: Initials and scores are visible publicly on the derby leaderboard. We ask players not to enter sensitive personal data, full names, or inappropriate nicknames.

7. Trusted Third-Party Service Providers

We do not sell, rent, or trade your personal data. We rely on industry-standard infrastructure vendors bound by strict confidentiality and data protection terms:

• Cloudflare: Provides server hosting, edge networks, DDoS defense, SSL/TLS encryption, and database storage (Cloudflare D1) within enterprise data centers.
• Resend: Used exclusively to deliver transactional emails (order receipts, tryout notifications, and sponsorship requests).
• Uniform & Screenprinting Partners: Sizing specifications and custom player jersey names are provided to local production vendors solely to produce requested merchandise.
• Peer-to-Peer Payment Networks: If you choose to support the team via Cash App, Venmo, or Zelle, transactions are governed by those individual platforms' respective privacy policies.

8. Children's Privacy & Parental Consent (COPPA)

As a 10U select baseball organization, the safety and privacy of young athletes is our highest priority:

• All tryout requests, orders, and inquiries involving a minor must be submitted by a parent, legal guardian, or adult family member.
• We do not knowingly collect personal contact information directly from children under 13 without verifiable parental consent.
• Player names and ages submitted by parents during tryouts are retained solely for internal coaching coordination and athletic development.
• If a parent or guardian discovers that their child submitted personal contact details without permission, please contact us at info@huttolegends.com, and we will promptly delete the data.

9. Data Security & Retention

We implement comprehensive technical and organizational safeguards:

• Encryption in Transit: 100% of website traffic and form submissions are encrypted via Transport Layer Security (HTTPS/TLS).
• Access Controls: Database records and inbound email notifications are restricted to authorized team coaches and administrators.
• Retention Periods: Tryout and inquiry submissions are retained only for the duration of the relevant playing season or booster cycle, after which inactive contact records are purged or archived for accounting compliance.

You have the right to control your personal information. At any time, you may:

• Request Correction: Update outdated phone numbers, email addresses, or order details.
